A Facebook lead ad collects someone's details without them leaving Facebook or Instagram. Then the details sit inside Meta, in Ads Manager, the Instant forms page and Leads Center, until someone goes and gets them. Two things go wrong from there: nobody calls in time, and the leads expire after 90 days. Connecting the forms to your CRM fixes both. Here's how to do it, what each method costs, how to test it, and how to send results back so Meta finds better leads.

The short answer
  • Meta keeps instant form leads for 90 days. Sync them somewhere or download them every week.
  • There are four ways in: Meta's own CRM setup, a connector such as Zapier, a Google Sheet, or your own webhook.
  • Test the connection with a test lead before the ads go live.
  • Store Meta's lead ID in your CRM. You'll need it to send results back.
  • At 200 or more leads a month, send lead stages back to Meta so it can look for leads that become customers.

Where Facebook leads go by default

Meta lets you download leads as a spreadsheet from Ads Manager, the Instant forms page in Meta Business Suite, or Leads Center. Leads Center is the closest thing Meta offers to a CRM: it sorts leads into stages (Intake, Qualified, Converted, Lost and Not qualified), lets you assign each lead to a person, and lets you schedule a reminder to follow up. Its downloads are capped at 10,000 leads per file and only include basic fields.

Meta says a CRM isn't required. But it also says, in its own advice on responding to leads, that downloading leads by hand can make follow-up slower, and that the sooner you follow up, the better the lead quality. And after 90 days, Meta stops making the details available, for security and storage reasons. A lead you never exported is a lead you no longer have.

For most small businesses, the first two are the right answer. Google Sheets is a fine stopgap, and Meta adds a lead_status column you can update, but a spreadsheet won't alert anyone when a lead arrives at 9pm.

Step by step: Meta's CRM setup

1

Open the CRM setup

From your Facebook Page, go to Meta Business Suite, then All tools, then Instant forms, and open the CRM setup tab. You need to be a Page admin with leads access.

2

Pick your CRM

Search for it by name. Some connect from the CRM's own website, and some say they connect through Zapier. Follow the steps the CRM shows you.

3

Check leads access

In Business Suite settings, under Integrations and Leads access, make sure the CRM is assigned. If anyone has customized leads access, a CRM that isn't assigned gets nothing.

4

Map the fields

Match each form question to a field in your CRM, including Meta's lead ID and any qualifying questions. If you add questions to the form later, update the mapping too.

5

Send a test lead

Create a test lead and confirm it arrives complete, in the right pipeline, assigned to the person who calls.

Test it before you spend

Meta's Lead Ads Testing Tool creates a test lead on a form, filled with dummy data, so you can watch it travel to your CRM without paying for an ad. You get one test lead per form at a time, and it's an organic lead, not tied to any ad. The same thing is available in Events Manager, under the Test events tab. Check four things: the lead arrives, every answer lands in the right field, it's assigned to a person, and that person gets told.

Speed matters more than the tool

A CRM only helps if someone acts on the lead. When we built our own follow-up app, we measured its first 52 live Facebook leads: the median time from form submit to the first email was 10 seconds, and 30 of the 52 arrived outside weekday office hours, UK time. The build note has the full data and the checklist we set it up against. If your leads are reaching the CRM but not answering when you call, why Facebook leads stop answering covers the usual causes.

Send results back to Meta

Connecting a CRM also lets you tell Meta which leads turned into customers. That's Conversions API for CRM, and it powers the Maximize number of qualified leads performance goal, which shows your ads to people more likely to convert after filling in the form, not just to people likely to fill it in. Meta says that from April 2026 this goal is no longer available on new campaigns without a Conversions API connection, with existing campaigns affected from August 2026.

Meta's checklist for Conversions API for CRM
  • Store the 15 to 17 digit Meta lead ID in your CRM for every lead.
  • Generate at least 200 leads a month.
  • Upload lead updates at least once a day.
  • The stage you optimize for, such as a booked appointment, happens within 28 days of the lead.
  • Between 1% and 40% of leads reach that stage.

Those come from Meta's developer guide. If you use Leads Center instead of a CRM, Meta says stage updates are sent automatically. HubSpot, Salesforce, Zapier, Zoho and others offer no-code connections. Meta's help center claims instant form campaigns using this goal saw 21% lower cost per quality lead than those maximizing lead volume, but it doesn't say when or how that was measured, so treat it as a claim rather than a benchmark. Below 200 leads a month, the bigger win is usually the form itself: instant forms versus a landing page covers that choice.

Who can see the leads

By default, everyone who's a Page admin or has messaging permissions can download your leads. Once someone with full control of your business portfolio customizes leads access, every new person, CRM and partner has to be added by hand. That's worth doing, because lead data is personal data: Meta says that for lead ads, both Meta and the advertiser are data controllers. Meta lists a privacy policy link on the form as optional but recommends one for every advertiser, and each Page has to accept Meta's Lead Ads Terms.

Questions people ask

How long does Facebook keep lead ads data?

90 days. Meta says you have 90 days from the time someone submits your instant form to download their details, and after that the lead expires. Messages in your Page inbox aren't removed, but form leads are, so sync them to a CRM or download them every week.

Do I need a CRM to run Facebook lead ads?

No. Meta says integrating a CRM isn't required: you can download leads from Ads Manager, the Instant forms page or Leads Center, which also lets you assign leads and set reminders. The risk is time. Someone has to look, and Meta itself says manual downloads slow follow-up.

Can I connect Facebook lead ads to HubSpot for free?

The lead sync, yes: HubSpot lists it on all products and plans, and it can pull in the last 90 days of leads when you connect. Allow up to two hours for new leads to appear. Sending lifecycle stages back to Meta needs Marketing Hub Starter, Professional or Enterprise.

Does Zapier's free plan work with Facebook lead ads?

No. Zapier treats Facebook Lead Ads as a premium app that needs its Professional plan or higher. The free plan gives 100 tasks a month and two-step Zaps only, and premium apps aren't included.

How do I test a Facebook lead form before running ads?

Use Meta's Lead Ads Testing Tool, or the Test events tab in Events Manager. Each creates a test lead on your form with dummy data, one per form at a time, and the lead isn't tied to an ad. Check it lands in your CRM with every field in the right place and reaches the person who calls.

Why aren't my Facebook leads showing up in my CRM?

The most common cause is leads access. Once anyone in your business portfolio customizes who can see leads, a CRM has to be assigned access before leads reach it. Also check that the right Page is connected, that the form was submitted after the connection, and how long your CRM says syncing takes.

What is Conversions API for CRM?

A way to send what happened to each lead, such as qualified or converted, back to Meta from your CRM, so Meta can find more people like the ones who became customers. Meta suggests it for businesses with at least 200 leads a month that can upload updates at least daily.

Should I use a More volume or Higher intent form?

More volume is Meta's default and makes forms quick to submit. Higher intent adds a review screen before submitting and a note that you may follow up, and Meta suggests it when leads need qualifying. Higher intent forms only show in mobile Facebook and Instagram feeds.
